We’re looking for an Operations Associate to drive initiatives, keep operations running smoothly, and help us deliver impactful programs — including trainings and events treated as projects. This role is about making things happen, not just ticking boxes.
This role is critical in ensuring ETHOS’ programs, initiatives, and key activities are delivered with excellence, while supporting ongoing operations, planning, and organizational growth.
The ideal candidate is a self-starter who anticipates challenges, takes ownership of their responsibilities, makes informed operational decisions, and ensures outcomes without constant supervision. Events and trainings are treated as projects within this broader mandate.

Own day-to-day operations, ensuring processes and systems run smoothly.
Manage organizational calendars, schedules, and internal databases.
Act as a first point of contact for inquiries, suppliers, and partners, exercising judgment to respond or escalate appropriately.
Anticipate operational needs and proactively resolve issues without instruction.
Coordinate procurement of office and operational supplies within approved budgets.
Lead assigned initiatives from planning to execution, including events, trainings, and organizational programs.
Treat initiatives as projects: define objectives, plan timelines, manage risks, and deliver results.
Make operational decisions on-site or in execution, ensuring smooth outcomes.
Liaise with vendors, service providers, and partners, balancing cost, quality, and timeliness.
Collect post-initiative feedback and prepare evaluation reports.
Support creation of newsletters, social media content, and marketing materials for initiatives.
Maintain and update ETHOS’ website with relevant organizational and program information.
Network, identify opportunities, and contribute ideas to enhance the organization’s visibility, reach, and impact.
Track initiative-related expenses, manage petty cash, and support invoicing.
Monitor budget allocations for specific activities and flag any variances.
Provide timely and accurate operational and financial reports to leadership.
Contribute to organizational efficiency, continuous improvement, and problem-solving culture.

Strong organizational, problem-solving, and decision-making skills.
Excellent written and verbal communication.
Proficiency in MS Office; Canva/graphic tools an advantage.
Proven ability to take initiative, manage multiple priorities, and deliver under pressure.
Professional, dependable, and capable of operating with minimal supervision.
