Sustainable Events Case Study: Delivered a Paperless and Impact-Driven Event in 3 Days

Event success is not just measured by attendance but by the values embedded in the experience. One of our recent international events showcased how intentional planning, paired with digital tools, can achieve real sustainability outcomes while enhancing efficiency and guest experience.

Over the course of three days, we managed an event that brought together a total of 300 attendees: 70 on Day 1, 150 on Day 2, and 80 on Day 3. Rather than relying on traditional paper-heavy processes, we leaned fully into digital registration, communication, and check-in systems delivering measurable results for both our client and the planet.

What We Achieved:

Paper Saved
We completely eliminated the need for printed registration forms and physical letters. Instead, attendees checked in via QR code, and communications including invites and reminders were handled through email and SMS.

  • 21–30 registration sheets saved via virtual check-in
  • 1,987 printed letters replaced with email send-outs
    → Total paper saved: over 2,000 sheets equivalent to 4 reams or a small tree.

Time Efficiency
Beyond materials, time was also saved across every touchpoint:

  • ~7 hours saved from automated QR check-ins (vs. manual name-by-name entry)
  • ~83 hours saved by avoiding delivery of physical letters
  • ~32.5 hours saved by using SMS instead of one-on-one phone calls
  • ~10–12 hours saved through virtual prep, digital lists, and instant reporting
    → Total time saved: Over 130 hours—or 16+ full working days
